The San Diego State University Student Chapter of the Association of Information Technology Professionals is a student run organization largely consisting of Information & Decision Systems Students. Designed to provide students with an opportunity to network with other students and professionals, giving added depth to organized study and promoting relationships which easily extend beyond graduation into the business community. The San Diego State University Chapter of Association of Information Technology Professionals provides members with an opportunity to also participate in committees and social events. Students are encouraged to provide constant feedback for continued quality improvement.
We the Information & Decisions Systems Students of San Diego State University, College of Business Administration, acknowledge: That we have an obligation to information technology profession, therefore, we shall endeavor to learn and apply the best principles and most beneficial methods in the information technology field. That we have an obligation to the Student Chapter and shall uphold the high ideals of the Chapter and cooperate with fellow members in the dissemination of all fundamentally sound information technology principles and methods. That we have an obligation to the College and University, therefore, we shall uphold its ethical and moral principles. That we have an obligation to our country, therefore, as a member of a Student Chapter sponsored by AITP National, we shall actively discharge these obligations and dedicate ourselves to that end.
A.
The name of the organization shall be the San Diego State University
Student Chapter 1003 of Association of Information Technology
Professionals. *Hereinafter called AITP.
B. This Student Chapter is not recognized for pecuniary benefit and shall not make or declare dividends.
The purposes of the Student Chapter fostered by AITP:
A. To develop a better understanding of the nature and functions of Information Technology.
B. To promote sound general principles in Information Technology and to
study technical methods with a view of their improvement.
C. To study equipment related to Information Technology.
D. To disseminate generally, by all appropriate means, all fundamentally sound Information Technology principles and methods.
E. To supply to its members information of the most current methods, and assist them in solving their individual problems.
F. To foster among students a better understanding of the vital
business role of Information technology, the proper relationship of
Information technology to management and the necessity for a
professional attitude among Information Technology Professionals in
their approach to an understanding and application of the principles
underlying the science of Information Technology.
Section 1:
Student Chapter AITP membership shall be granted to any full-time or
part-time student who is a candidate for a degree program at San Diego
State University in Information Decision Systems or a degree consistent
with the desire to further explore the field of Information Technology.
Section 2:
Membership in this organization will not be restricted on the basis of
race, sex, sexual preference, religion, age, and ethnic background,
qualified handicapped or national origin.
Section 3:
Applications for membership may be rejected only for failure to comply
with the requirements set forth in these bylaws or failure to comply
with additional requirements which may be imposed by the administration
of the Business College or San Diego State University.
Section 4:
The Student Chapter Officers shall have the power to suspend or expel
any member for conduct considered to be contrary to the best interests
of the Student Chapter. Removal is to occur only after the member in
question has been notified of his/ her offense. When the member is
notified, the offense shall be reported immediately to the AITP
President and advisor. Below is the corrective action taken:
First Offense
- Written reprimand, copy sent to advisors. Officers and advisor(s)
must meet within one week from the time the offense is reported to
determine the best course of action. If it can be determined that the
member acted in a negligent or malicious manner towards the club, the
members, the Information & Decision Systems faculty and Community,
the officer may be removed by a 2/3 majority vote from the officers.
Advisors must approve that the action to remove the student reflects
the principles fostered by the AITP bylaws.
Second Offense
- Written reprimand, copy sent to advisors. Officer and advisors(s)
vote to dismiss the member. The member is to be removed by a 2/3
majority vote.
The member will be notified, in writing, that
he/she is no longer welcome in AITP and is no longer a member. The
member will be told not to attend anymore AITP related functions or
meetings. The national AITP affiliation will cease to exist with
members who are dismissed.
Section 1:
AITP Student Chapter has the right to self governance and the
responsibility for governing the student chapter is vested in an
elected President and elected Chapter Officers.
Section 2:
The President is elected at the close of each semester for tenure of
the coming year or semester by the San Diego State University Student
Chapter of Association of Information Technology Professionals members.
The President may serve a year term as long as they meet the membership
requirements.
a: The President may only be selected from the
existing officers of previous AITP officers unless there are no
returning officers.
b: If there are no returning officers, members
retaining valid membership for at least one semester that have
demonstrated involvement in AITP may be elected into the position.
Section 3: The Executive Assistant, Vice President of Finance,
Webmaster, Vice President of Membership, Vice President of Sponsorship,
Vice President of Professional Development, Vice President of
Marketing, Director of Sponsorship, and the Social Events Coordinator
submit applications and then are selected through interview with
existing club officers.
The officers of AITP shall be:
a: President, Executive Assistant, Vice President of Finance,
Webmaster, Vice President of Membership, Vice President of Sponsorship,
Vice President of Professional Development, Vice President of
Marketing, Director of Sponsorship and the Social Events Coordinator.
b: All officers shall be active members of AITP, show an interest in the office, and serve at least a one semester term.
c: Should a vacancy occur in any office, it shall be filled by special
election of the AITP members or by appointment by the faculty advisors.
d: All AITP officers shall be in good standing with AITP (i.e.: fees paid in full).
e: All AITP officers must have a declared IDS major; GPA of 2.0 or
higher, at least 5 hours a week to work on AITP organizational issues,
completed IDS 306 and at least 60 hours in the program of study.
f: Officers desiring to serve in a one-year capacity will be given priority over one-semester nominations and services.
g: Officers not filling their specified duties and commitments will suffer the following consequences:
First Offense- Written reprimand
Second Offense-
Written reprimand and copies of both the first and second reprimand
sent to student club advisor. Review for dismissal by the officer team.
A 2/3 majority is needed to remove an officer. This decision is to be
communicated to the club advisor before removal to insure the decision
is in accordance with AITP bylaws.
Third Offense-
Written reprimand and immediate dismissal by a 2/3 majority vote of
remaining officers. This group of officers will NOT include the
offending officer(s). This decision must be communicated to the
advisor(s) before removal to insure the decision is in accordance with
AITP bylaws. These consequences apply to all offenses of all types. The
offenses need not be related to one another in any manner. If the
offenses are related to one another, the officer(s) will be removed
after the second offense. If the offenses are unrelated, officers may
vote to remove the officer(s) after the second offense or allow the
officer(s) another chance. If another chance is granted, the offending
officer(s) will be immediately removed from office if a third offense
occurs.
h: In cases of gross negligence on part of any
officer, a quorum of officers reserve the right to dismiss the
officer’s standing with AITP. Consultation with the student club
advisor shall take place before an action is taken.
i: In case
of criminal offense on part of any officer, quorums of officers reserve
the right to dismiss the officer standing with AITP and remove the AITP
National Membership standing. Additionally, quorum reserves the right
to make further demands upon the officer.
a: PRESIDENT
Skills: Very motivated. Ability to coordinate, organize, and plan.
Ability to write and speak professionally, maintain control, be
responsible and dependable. Must be able to separate personal interests
from club interests and represent the greater good of the club in all
decisions. Must take responsibility for actions that impact the club.
It is essential that this person take on the main leadership role as
well as delegation to other officers and general members. This person
must listen well to everyone and consider all concerns when making
major club decisions.
Responsibilities: To serve the
AITP organization, officers, and members. Maintain a close line of
communication with the other VPs in the AITP organization. Administer
action items to Vice Presidents and motivate VPs to accomplish their
tasks/responsibilities. Responsible for delegating and/or accomplishing
responsibilities of any officer in his/her absence.
b: EXECUTIVE ASSISTANT
Skills: Ability to write well and type or use a word processor. Must be responsible and dependable.
Responsibilities:
Like the President the Executive Assistant also maintains a close line
of communication with the other VPs in the AITP organization.
Administer action items to Vice Presidents and motivate VP’s to
accomplish their tasks/responsibilities. Delegates and/or accomplish
responsibilities of any officer in his/her absence. Take notes at
officer meetings and general membership meetings. These notes should
summarize decisions that were made and issues addressed.
c: VICE PRESIDENT OF PROFESSIONAL DEVELOPMENT
Skills: Ability to organize and plan. Good communication skills, both written and verbal. Must conduct self professionally.
Responsibilities:
Arranging guest speakers for general membership meetings. Further
responsibilities include confirmation of appearance a week in advance,
and mailing a parking permit to all attending speakers for each meeting
at least a week in advance. A follow letter should be mailed out
electronically within one week after the meeting. Also responsible for
setting up media technology thirty (30) minutes prior to and after each
general membership meeting. If refreshments or beverages are required
for the meeting, this person shall purchase, set up, and break down the
refreshments.
d: VICE PRESIDENT OF FINANCE
Skills: Ability to organize and plan. Be creative and dependable. Must
be a salesperson and very motivated. Will need basic accounting
knowledge. Be honest, responsible and organized.
Responsibilities:
Keep ongoing records of financial status. Involves reimbursing officers
once a week for any pre-approved purchases made. Reimbursement requires
a receipt that is labeled. Using the appropriate form, these receipts
will be submitted to the appropriate officer in the Associated Business
Club in the Business office for approval or reimbursement. Further
responsibilities include balancing the AITP checkbook, depositing
checks, and supervising/motivating the Sponsorship Officer.
e: WEBMASTER
Skills: Excellent written and verbal communication skills. Experience
and familiarity with web design is critical. Must be creative,
flexible, organized, and self-motivated. Must have strong leadership
skills and the ability to work well with others.
Responsibilities:
Main responsibility includes maintaining the AITP homepage. This
includes continuous posting of jobs and internships, meetings, and
other events that may be beneficial to AITP members. This individual
should have continuous communication with the President to ensure the
site maintains a professional appearance.
f: VICE PRESIDENT OF MEMBERSHIP
Skills: Must be personable, organized, professional and self-motivated.
MUST have excellent communication skills and have the ability to work
well on a team. Must be flexible and a hard worker.
Responsibilities:
To organize a strategy for recruiting more members. This includes
organizing club days, setting a goal for the number of members
recruited, continuously recruiting new members, mailing membership
applications to the national chapter, and ensuring that membership
applications are available.
g: VICE PRESIDENT OF MARKETING
Skills:
Must be creative, dependable, organized and self-motivated. MUST have
excellent communication skills and have the ability to work well on a
team. Will need basic marketing knowledge and skills in multimedia
design.
Responsibilities: The Vice President of
Marketing will work closely with the Vice President of Membership to
implement a strategy for recruiting more members. This includes
organizing tabling events, creating advertisements, and using any
effective methods necessary to further promote the organization.
h: DIRECTOR OF SPONSORSHIP
Skills: Must be able to communicate in a professional manner with
managers and other professionals in the community. Must be a
self-starter, motivated, dependable, honest and organized. Must be able
to meet deadlines and work well on a team. Must have the ability to
listen well to other people and perform in a way that represents the
greater good of the group.
Responsibilities: Gain
sponsorship from companies. This involves mailing letters to companies,
explaining AITP and its purpose, goals, etc. When sponsorships are
acquired, a thank you letter should be mailed and proper tracking of
company sponsorship received. All funds should be given to the VP of
Finance. The VP of Marketing should also be notified so he/she may
update the AITP homepage.
i: SOCIAL EVENTS COORDINATOR
Skills: Must be creative, organized, and able to work well with a team
and independently. This person must have the ability to listen well to
other people and perform in a way that represents the greater good of
the group. Must be responsible and reliable. Must be professional and
able to speak well with management and people within the community.
Must be able to meet deadlines and work under pressure.
Responsibilities:
The Social Events Coordinator will research, organize, and follow
through to completion social events for the organization--keeping in
mind the financial capabilities of its members. The Coordinator will
work in conjunction with the VP of Marketing in getting the word out
about the planned events and will also work with the VP of Finance in
planning events which may need a cash outlay or be budgeted for a later
date.

Section 1:
General Membership Meetings may be held up to four times a month. The
date and time is to be determined after the campus census, each
semester. Meetings are to be called by the president after receiving a
2/3 majority vote from the officers.
Section 2: Officer
Meetings shall be held when needed as issues arise. Officers must have
48 hours advance notice for every officer meeting unless extenuating
circumstance arises. Officers must give written notice if he/ she are
unable to attend the meeting.
Section 3: Special
General Membership Meetings or Officer Meetings, requested by
non-officers, may be called by the President, by written request to the
President. The request for a special general membership meeting must be
signed by 10% of the current membership. The request for an Office
Meeting must be signed by 2 of the officers. The meeting will be
scheduled at least 5 days from date of the request. This will insure
that the meeting is announced to all members.
Section 4: A quorum shall consist of 51% number of officers (inclusive of chairs when the vice president of that department is absent).
Section 1: AITP Student Chapter Officers shall manage and control the property of the chapter.
Section 2:
All expenditures are to be reviewed and authorized by the President as
well as the Vice President of Finance. These authorizations must be
obtained prior to execution of the purchase.
Section 3:
An annual budget should be prepared by the Vice President of Finance
and submitted for executive review and approval. This budget reflects
an estimate of the expenses that will be incurred during the semester.
The purpose of the budget is to serve as a guideline for club
expenditures throughout the semester.
Section 4: Annual
Membership fees are to reflect double the amount that the National
Headquarters charges. If the National Headquarters chooses to raise
their fee, the Student Chapter may raise their membership fee so that
it reflects double the amount required by National Headquarters.
Section 5:
The San Diego State University Student Chapter of Association of
Information Technology Professionals is largely funded by sponsorship
from companies, from Associated Student Allocations, membership dues
and fundraising activities.
Section 1:
The Student Chapter shall appoint Chairs and form whatever committees
are necessary for its efficient operation. These chairs and committees
shall be amended to the existing bylaws.
Section 2: Chairs are to be appointed specifically by the Vice President of concerned Office and ruled by that office.
Section 3: Committees are voted by majority of approval.
The following oath of office must be taken by all new AITP Officers as they take office: "I (name in full), as an Officer of San Diego State University Student Chapter of Association of Information Technology Professionals (AITP), do swear that I will strive to improve this Association of Information Technology Professionals and work toward bettering AITP. With these thoughts in mind, I shall set as my goal, the betterment of the San Diego State University Student Chapter of Association of Information Technology Professionals, I so affirm."
Rules contained in Robert’s Rules of Order shall govern the Student Chapter AITP in all cases for which they are applicable, and in which they are not inconsistent with the bylaws of the organization.
